Reporting and evidence
Do reporters need an account or app?
No. Public reporters scan a QR code or open a public link, complete the form and submit. Only authorised dashboard users log in.
Can people report anonymously?
Yes, where anonymous reporting is enabled for the form. Reporters should avoid putting identifying details in the description or attachments if they want their report content to stay anonymous.
Can a form change after a QR code is printed?
Yes. The permanent public route lets you change the linked form, wording or configuration without replacing the printed QR code.
Can reports include photographs or PDFs?
Yes. JPG/JPEG, PNG, WebP and PDF are supported, with up to 5 files per submission and a maximum of 10 MB per file.
How long are uploaded files kept?
All uploaded originals, thumbnails and previews are permanently deleted exactly 7 days after the original submission date. Viewing, downloading or keeping a case open doesn’t extend that period. The non-file case record remains under the applicable account-retention rules.
Cases, access and pricing
What happens after a report is submitted?
It becomes a traceable case for authorised users to review, prioritise, assign and act on. Actions can be verified before closure, and material changes are recorded in the case history.
Are public submissions limited?
No. Public submissions are unlimited and don’t consume credits. Free includes up to 5 locations. Paid plans include unlimited locations, while site, dashboard-user and active-QR limits depend on the selected plan.
Does assigning a restricted case grant access?
No. Assigned users also need explicit restricted-case permission. Administrators and specifically authorised Managers can access restricted cases. Ordinary Supervisors and Viewers don’t automatically receive access.
Product boundaries
Is Keep Improving a CAFM or full health and safety system?
No. It supports reporting, action management and improvement alongside your wider arrangements.
What dashboard roles are available?
Administrator, Manager, Supervisor and Viewer. Restricted cases require additional appropriate permissions.
Can several sites use it?
Yes, subject to plan limits. Cases retain site and area context for authorised filtering and review.
